Email migration notes & instructions for BMSC staff



This is very important!


After the changeover, you will no longer be able to access your email on ceratostoma.bms.bc.ca. You MUST update your password, and make the necessary changes in order to be able to send and receive email.


I will do my best to get to everyone's desktop, or laptop and change the settings for you, but a number of folks here have been using their own unique approach to accessing email at BMSC, and I cannot guarantee that you will not experience some interruptions.


Email services have been designed from the ground up to ensure messages get through, so if someone is sending you a message, and for some reason it does not get through during the transition, the sending server will continue to try sending until the message gets received. Having said that, I do not promise that absolutely no messages will be lost during this change-over.That is why I will be doing the main work during the evening, after normal business hours.

SECTION 1, EMAIL SERVER PASSWORD


In order to use the new email server, you will have to visit the following page:

https://mail2.bms.bc.ca:81

and enter your login data. The username will be the same as your old username, but the default password will be the one supplied in the email sent out to staff. The appearance of the page will differ slightly from the images below.




After a successful login you will see the following screen:













There is no special announcement such as “You have successfully updated your password”. You will just see the same page again. From here, just click on Logout, in the upper-right-hand corner of the page.











Section 2 – Email Client settings


If you are not using eGroupware, and want to set up your own email client, use the following settings to access your email. If you wish to use Gmail, they have instructions on their website.


IMAP

IMAP server: mail2.bms.bc.ca

Secure IMAP (IMAPS or S-IMAP) port 993, set to use SSL


SMTP

SMTP Server Name: mail2.bms.bc.ca

Port: 465

Connection security: SSL/TLS

Authentication method: Normal password


For those of you using eGroupware, you will need to at least change your EGW password to match your email password. Go to section 3 for instructions.


Instructions for specific email clients such as Thunderbird or Outlook go to Section 4

If you are off-site from BMSC, go to: http://walle.bms.bc.ca/egroupware


If you are on-site, go to: http://10.0.0.16/egroupware


Login using your existing credentials. Depending on where I am at in the migration process, you may have to wait a while for the page to load. You may also get a message about “Unable to contact IMAP server”. Please ignore.




Once logged in, click on “Preferences” in upper-right-corner of page,






Select “change your password”, you will then see following page:






This part is same as changing email password:









Section 4 – Specific Email client settings (how to)



Thunderbird

Go to Tools>Account Settings>












Then Select (or create) your account

The settings are Server Name: mail2.bms.bc.ca

Port: 993

User Name: your username

Connection Security: SSL/TLS

Authentication method: Normal Password
















Next you will have to edit the Outgoing server/ SMTP settings:













The particulars are

Description: whatever you prefer here, best is BMSC mail or similar

Server Name: mail2.bms.bc.ca

Port: 465

Connection security: SSL/TLS

Authentication method: Normal password

User name: your email user name















The first time you connect to send an email, you will get a notice that the site is sending an unknow or insecure certificate.

Click on “Get Certificate”,

ensure checkbox is marked for “Permanently store this exception”,

choose “Confirm Security Exception”
